The Practice Assistant should have 1-3 years of experience with a law firm or file management organization. Responsibilities include but are not limited to managing files within our document management system by creating files, pulling files for meetings, and ensuring files are complete and organized. The Practice Assistant will prepare general correspondence with accuracy and adhere to the JKZ formatting guidelines. This position requires that the Practice Assistant be extremely detail-oriented, organized, critical about accuracy, spelling and grammar and possess the ability to prioritize and follow up. This is a very fast paced environment, and the Practice Assistant must be able to multitask and assist attorneys with a voluminous caseload. This role requires a self-starter who is willing and open to learning new skills as well as taking initiative and being proactive. This position requires the Practice Assistant to be in office 5 days a week.

Essential Duties and Responsibilities, including but not limited to:

  • Handing sensitive and confidential information
  • Scanning and saving documents to our document management system
  • Maintaining and inputting file information in our document management system
  • Recording instruments with county recorder’s offices
  • Assisting with incoming and outgoing mail
  • Coordination with couriers for delivery of documents to third parties
  • File management including updating, indexing, printing and organizing files, and ensuring accuracy within client files
  • Other administrative projects as assigned

Requirements:

Education and Experience

  • 1- 3 years of recent experience as a Practice Assistant or other administrative assistant position in a law firm or file management organization preferred

Knowledge, Skills & Abilities

  • Proficient in Microsoft Office Suite, Outlook, Adobe and client and document management systems
  • Solid command of English including excellent spelling, grammar, punctuation, form and style
  • Organized and detail oriented
  • Ability to communicate clearly and work well with a team and on your own.
  • Positive attitude, intellectually curious, dependable and motivated.
