The Executive Assistant to the Managing Partner must have at least five (5) years of recent experience supporting a managing partner or shareholder of a law firm or other professional services firm. The Executive Assistant must be able to work independently and with a team, manage projects, and be relied on for follow-up and accountability. The Executive Assistant is expected to accurately prepare documents, filings, and/or general correspondence and adhere to the JKZ formatting guidelines. This position requires that the Executive Assistant be extremely detail-oriented, organized, critical about accuracy, spelling and grammar and possess the ability to prioritize and follow up. The Executive Assistant may also be responsible for answering phones, entering attorney time, along with other general duties and projects as assigned. This is a very fast paced environment, and the job at hand can change at a moment’s notice. The Executive Assistant must be able to multitask and manage a voluminous workload. Flexibility is expected and the taking of initiative and being proactive is essential in this role.

This position may require the Executive Assistant to serve as back-up to the Managing Partner’s Legal Secretary when necessary. This position requires the Executive Assistant to be in office 5 days a week.

Essential Duties and Responsibilities, including but not limited to:

  • Keeping the Managing Partner organized and on task with firm management duties and new client intake processes
  • Client, vendor, and employee communications
  • Event planning for employee engagement
  • Creating spreadsheets and presentations
  • Drafting documents
  • Calendar appointments and deadlines
  • Booking and coordinating travel arrangements
  • Expense reimbursement tracking
  • Additional projects as assigned

Requirements:

Education and Experience

  • At least 5 years' experience working as an Executive Assistant for a managing partner or shareholder in a law firm or other professional services firm

Knowledge, Skills & Abilities

  • Proficiency in Microsoft Office Suite, Outlook, Adobe, legal practice management and document management systems.
  • Intermediate to advanced word processing skills.
  • Solid command of English including excellent spelling, grammar, punctuation, form and style.
  • Organized and detail oriented.
  • Ability to communicate clearly and work well with a team and individually.
  • Positive attitude, intellectually curious, dependable and motivated.
